In short: we don't receive or store any of your data. The app sends your recordings to OpenAI, using your own OpenAI key, to turn them into text, and sends the contacts and invoices you confirm to your own Xero organisation. There are no accounts with us, no analytics, no ads and no tracking.
Who we are
v2x Invoice is made by Andrew Taylor, an individual developer in the United Kingdom ("we", "us"). Contact: support@voicetoinvoiceapp.com.
What the app sends, and where
The app connects to two services only, both chosen and controlled by you. It has no server of ours in between.
OpenAI (api.openai.com)
- Your recordings. When you hold the mic and release it, the recording (a short audio file) is sent to OpenAI to be transcribed.
- The transcript of that recording, with instructions for reading it, is then sent to OpenAI to work out the details (for example the customer's name, or an item's quantity and price).
- These requests use your own OpenAI API key, so they are made under your OpenAI account and OpenAI's terms and privacy policy. At the time of writing, OpenAI says API data is not used to train its models by default, and is kept for up to 30 days for abuse monitoring unless the law requires longer.
- When you save a key, the app checks it with OpenAI once.
- Recordings that are too short, nearly silent, or interrupted are discarded on your phone and never sent.
Xero (*.xero.com)
- When you connect, you sign in to Xero directly; the app never sees your Xero password. It asks Xero for permission to read and create contacts and invoices, and nothing else.
- The app reads your Xero contacts to let you choose a customer, and sends Xero the contacts and invoices you confirm, including your customers' names, email addresses and addresses. If you choose to email an invoice, Xero sends it.
- That data is held in your Xero organisation under Xero's terms and privacy policy.
What stays on your iPhone
- Your Xero sign-in (access tokens) and your OpenAI key are stored in the iPhone's Keychain, and are sent only to Xero and to OpenAI respectively.
- Drafts of a contact or invoice you've started are saved on the phone, so they survive the app closing. They are removed when you submit, when you clear them in Settings, or when you delete the app.
- Recordings are kept in the app's temporary cache on the phone, which iOS may clear at any time, and are removed when you delete the app.
What we receive
Nothing. We have no server, no accounts and no copy of your recordings, transcripts, contacts, invoices, keys or sign-in. We can't see or recover any of it.
Analytics, ads and tracking
None. The app contains no analytics, advertising or tracking code, and doesn't share data with data brokers. This website sets no cookies and loads nothing from other sites.
If you use Apple's TestFlight or choose to share crash reports with developers in your iPhone's settings, Apple may pass us anonymous crash reports under Apple's own privacy policy.
Children
The app is a business tool and isn't directed at children under 13.
Removing your data
- In the app: Settings → Disconnect everything. This removes your Xero sign-in and OpenAI key from the phone.
- Delete the app. This removes drafts and recordings.
- Optionally, remove the app's connection in Xero (Settings → Connected apps), and delete or replace the key at platform.openai.com/api-keys.
Contacts and invoices you created stay in your Xero organisation, where you manage them as usual.
Your rights
Because we hold no personal data about you, there is nothing for us to access, correct or delete. For the data held by Xero or OpenAI, use their privacy controls, or contact them directly. You can also contact us with any question.
Changes
If the app starts sending data anywhere new, this policy will be updated in the same app update, and the date above changed.
